Summarising decisions in budget review meetings: English practice
Practise summarising decisions in budget review meetings. This exercise helps you close a discussion with an accurate record of what was agreed and what remains open. You take the role of a department manager and speak with a finance colleague. You can work alone by recording both parts, or ask a partner to respond naturally.
Close a discussion with an accurate record of what was agreed and what remains open.
Your situation
You are reviewing a proposed campaign budget. The draft combines production fees and advertising spend, making the assumptions difficult to compare.
Known detail: the review covers one month and all figures need the same currency. Your communication task is to separate the cost categories and confirm the approved cap. Keep that task in mind while practising the language; accuracy matters more than sounding elaborate.
| Your role | a department manager |
|---|---|
| Other person | a finance colleague |
| What is unresolved | production and advertising costs are combined in one figure |
| Possible agreed outcome | you will send a revised budget with separate categories and assumptions |
A useful language pattern
We have agreed … The remaining question is …
A closing summary should make the agreement visible instead of suggesting that every issue has disappeared.
Example: “We have agreed that you will send a revised budget with separate categories and assumptions. The remaining questions should be recorded separately.” This is one way to express the idea. Change the wording when the actual situation calls for a different level of formality.
| Less useful wording | Great, all sorted. |
|---|---|
| Clearer follow-up | Yes. Let us name the owner and the update time before we finish. |
Vocabulary for this conversation
| allocation | an amount assigned to a particular purpose |
|---|---|
| estimate | an informed calculation that is not yet a final amount |
| approved cap | the maximum amount authorised for spending |
An eight-minute practice
- Minute 1: read the situation and identify what is known, what is uncertain and what you need to separate the cost categories and confirm the approved cap.
- Minutes 2–3: Summarise one decision, one open question and one named next action.
- Minutes 4–5: ask a partner to reply differently from the example. Respond to their meaning rather than restarting your prepared answer.
- Minutes 6–7: review the three criteria below. Rewrite one unclear sentence using shorter, more specific words.
- Minute 8: repeat the difficult exchange without looking at the model. Finish by confirming the next step.
Make the exercise easier or harder
You do not need an idiom or a complicated sentence to sound professional. Check that the listener understands the message, can ask a question and knows which action follows. This exercise does not assess your accent or certify a language level.
| More support | Keep this pattern visible: We have agreed … The remaining question is … Practise one exchange at a time and ask the other person to speak more slowly when needed. |
|---|---|
| More challenge | Add a new constraint: the other person cannot answer immediately. Keep the discussion accurate while you separate the cost categories and confirm the approved cap. |
| For your actual work | Replace the fictional detail “the review covers one month and all figures need the same currency” with an appropriate, non-confidential example from your work. |
